REPORTS TO: Executive Director
TYPE OF EMPLOYMENT: Full time, Non-Exempt (hourly)

The Administrative Assistant will provide front line office support, manage office operations, and respond to volunteer inquiries. This position will act as an Executive Assistant to the Executive Director, support the Board of Management, and provide administrative assistance for the Executive team, the Staff and its programs.

Furthermore, the Administrative Assistant is responsible for the following activities:

  • Assist the Executive Director as requested, including support at monthly board meetings and all board correspondence and scheduling
  • Manage general business operations including mail, postage, and supply orders
  • Manage office technology contracts, contacts, maintenance, trouble-shooting, and staff trainings
  • Develop and prepare materials, informational packages, correspondence and mailings
  • Operate, monitor and maintain office equipment & liaison with associated vendors
  • Answer administrative phone lines and respond to walk-in inquiries
  • Back up Recycling Call Center as needed
  • Provide programmatic, contract, and grant support as needed
  • Ongoing in-office and external event planning and coordination; lead office culture & core values
  • Respond to volunteer inquiries including details about upcoming volunteer opportunities, and checking in and out cleanup supplies, and storm drain stencil kits.
  • Assist with donor stewardship including entries and reports using Classy, letters, tracking, and researching opportunities
  • Assist in maintaining equipment inventory, calendaring and scheduling conference calls
  • Support the maintenance, care, and storage of ILACSD office, kitchen, and program supplies
  • Attend organization events
  • Other duties as may be assigned


  • Experience working in an office
  • Articulate and skilled in writing general correspondence.
  • Exceptional attention to detail with multi-tasking skills
  • High level of organization awareness and an eagerness to help out
  • Self-starter, quick learner, and savvy with technology
  • Extremely proficient with Microsoft Office suite
  • Professional with good phone and customer service skills
  • Must be vaccinated or willing to get vaccinated against COVID-19
  • Friendly, willing to help others, and dedication to the environment
  • Bilingual (English/Spanish) (a plus)
  • Must have access to reliable transportation and a valid Driver’s License.
  • Must be able to lift and move objects up to 40 lbs


  • Salary commensurate with experience $16-18.00 per hour.
